Add an Address - Business

Business addresses are sensible additions to Family Clippings, since it's much easier to look here and find the phone number than to search through the phone book (once you find it). By categorizing your business addresses into Address Groups, you'll have quick references for repair shops, food places, etc. You won't have to remember that the salesman's name at Flanner's is James, since you can put into the business address information for easy reference.

Once you have specified that you would like to add a Business Address, you will be presented with a form to fill in the information for that business and the contact you may have there.

Form Field Descriptions 

Following is a description of the fields of the form and how they are used in the Address Book.

Display Name

Whenever this address is displayed, the display name is used as the heading for that address. It is used in search results pages so that you can identify the address you are looking for easily.

Sort Name

Addresses are sorted by the text entered for sort name. If you have entered the birthday of your business contact in this form, the sort name is used in combination with their first name in the Upcoming Dates display. This will probably look a little odd, so if you have suggestions on how to do this better, we're all ears!

Address

This is a free-form field in which you can enter a mailing address. This doesn't separate out the city, state, and zip so it handles foreign addresses, and any other text that may be necessary when mailing them. In the future, we plan to use this field together with the display name to output mailing labels, so don't get too creative with what you put in here. Save driving directions for the Notes field.

Business Web Site URL

Enter the URL for the business' web site here. Start with "http://" so that the URL is clickable from the Address Display. If the business does not yet have a web site, please tell them to contact Scott Jentsch and Dominic Schanen for a quote on getting them connected to customers they are currently missing every day!

Phone, Fax, E-Mail Address, Cell Phone

These are pretty self-explanatory, except to explain that these are the common contact methods for this address. If you have separate information for your contact there, you can use the individual fields under "Your Contact at this Business."

Create this address in which group?

Every address needs to be in at least one Address Group. You can choose one from the list of available Address Groups, or create a new one right here. You can select only one address from the drop-down, but it is very easy to add this address to more Address Groups after you have finished adding it.

Your Contact at this Business

The following fields can be completed for your contact at this business, if you have one. Use these fields only if you have information that is different than what would be used for the business in general, which should be listed in the fields mentioned above.

First Name

Simply put, this is the first name of the person who serves as your contact at this business. This name is used in the birthday listing in the "Upcoming Dates" display if this person's birthday is entered in the "Birthday" field below.

Cell Phone

If this person has a separate cell phone from the common one, enter it here.

E-Mail Address

Similarly, if each person has a separate E-Mail address, you can track that in this field.

Birthday

You may not want to know your plumber's birthday, but we're not going to make a judgement on how well you know your repair guy... If you know any part of the person's birthday information, you can keep track of it here. It's OK if you don't know the year or day of their birth, you can always add it later. People with birthday information (with at least month and day provided) will appear in the "Upcoming Dates" display for birthdays.

Work Information

This is a free-form field that you can use to record work information for your contact. Work phone/extension, department, company name, and other work-related information can be placed here for easy reference.

Family Information

Once again, how close you are to your plumber is your business, but we provide you with the ability to make notes about their family. You can score points with people if you remember subtle things like their husband's name, the fact that they have two kids, etc. This is a good place to keep track of things you shouldn't have to try to remember.

Other Address Notes

Got any other information that we didn't think of? Place it in this free-form field. If you find yourself in need of another field to track a common bit of information, store it here and tell us about it so that we can consider it for a future upgrade to Family Clippings. When you are finished, click on the "Submit" button.

You will then see a message saying that you have added the address successfully, or you will see an error message if some needed information is missing or mis-typed. Once you have added an address, you are then able to edit it when you have updated information. Anyone who shares this address is able to view and edit it as well.

If you would like to add this new address to more groups, you can do so from the Address View page. You may also add a photo or company logo by editing the address and uploading the photo from your computer using the dialog that appears on the edit form.
